Using an AI Assistant to Answer Leads Faster

Across almost every study of inbound leads, the same pattern holds: the business that responds first usually wins, and the drop-off after the first hour is steep. Most service businesses cannot staff instant replies around the clock. An assistant can.
The job of a lead assistant is narrow: acknowledge the enquiry immediately, answer the handful of questions it can answer well, capture the details a human will need, and book a call or hand off. It is not there to close the sale or improvise.
Scope it to your own material. Feed it your service descriptions, pricing ranges, coverage area, availability and frequently asked questions. Anything outside that, it should say it will pass to a person, and then actually do so, with the full conversation attached.
Keep a human checkpoint wherever commitment or judgement is involved. Quoting a non-standard job, promising a date, handling a complaint: these route to a person. The assistant's confidence is not a substitute for authority.
Write the fallback carefully. “I am not sure about that, so I have passed this to the team and someone will come back to you today” is a good outcome. A confident wrong answer is not. Test the assistant with the awkward questions, not the easy ones.
Log everything and review it weekly. The transcripts show you which real questions people ask, where the assistant hesitated, and which answers need improving. The first month of logs is the best FAQ research you will get.
Measure the thing that matters: median time to first response, and the share of enquiries that reach a booked call. If those improve and complaints do not rise, the assistant is working.
An assistant does not replace the person who does the work or the person who wins the client. It buys back the first hour, and for inbound leads the first hour is most of the game.
